Administrative Assistant Ref 432a

The Administrative Assistant is responsible to the PD Associate Regional Manager in IBA. The position involves maintaining systems to support the services offered to schools by the School Services Division and Professional Development. The jobholder must also work closely with administrative staff of other units to maintain the highest level of service to schools in IBA.

The Administrative Assistant will:

  • Provide information and support to individuals and schools interested in the IB programmes (via email, telephone and in accordance with IB’s standards of customer service)
  • Provide administrative support for the candidate authorization and programme evaluation processes by preparing letters, database maintenance, calendar preparations and effective communication
  • Maintain all school services files, records and updates in the database
  • Preparing surveys and making sure they are launched in a timely fashion
  • Collating and distributing survey data results to the workshop leaders, contractors and internal departments
  • Collaborate with Conference Department and Volunteer Service Department to keep data process accurate and effectively communicated
  • Support the Professional Development department with workshop advertising and quality assurance processes
  • Provide accurate year-round transcript service support to the students
 

Requirements:

  • High School diploma or an equivalent combination of experience, education, and training that would provide the level of knowledge and ability required for the position.
  • Excellent oral and written communication skills
  • Working knowledge of Microsoft Office Suite
  • Ability to work independently and as part as a dedicated team
  • Excellent time management and organization skills
